Companies House ID Verification – What Clients Need To Do

Companies House ID Verification – What Clients Need To Do

The new Companies House identity verification rules are causing confusion for many business owners, directors and PSCs (People with Significant Control). We are receiving an increasing number of questions from clients about what the changes mean, when action is required, and why Companies House is now asking for personal verification codes.

Why Are Companies House Introducing Identity Verification?

The new rules form part of the Economic Crime and Corporate Transparency Act 2023, which aims to reduce fraud, improve transparency and ensure that the information held at Companies House is accurate and trustworthy.

From November 2025 onwards, identity verification became a legal requirement for:

  • Company directors
  • People with Significant Control (PSCs)
  • LLP members
  • Individuals filing information at Companies House

The purpose is to confirm that the people running and controlling UK companies are genuine individuals.

What Is a Companies House Personal Code?

Once an individual successfully completes identity verification, Companies House issues a personal verification code.

This code:

  • Belongs to the individual, not the company
  • Stays with them permanently
  • Is used across all companies they are involved with
  • Must be linked to director and PSC records
  • Will be required for future Companies House filings

Think of it as your personal Companies House identity reference.

Why We Are Asking Clients To Obtain Their Own Verification Codes

Although accountants and authorised agents can assist with filings, the identity verification itself belongs to the individual director or PSC.

For this reason, we are asking all clients to:

  1. Complete their own identity verification directly with Companies House
  2. Obtain their personal verification code
  3. Provide the code to us so we can continue filing documents on your behalf

This includes:

  • Confirmation statements
  • Director appointments
  • PSC confirmations
  • Future Companies House submissions requiring verified identities

By obtaining your own code directly, you remain in control of your personal identity verification and avoid delays with filings.

How To Verify Your Identity

There are several ways to complete the process.

Option 1 – Verify Online with Companies House

Most individuals can complete verification online using:

  • A passport
  • UK photocard driving licence
  • Biometric residence permit or card

You will usually need:

  • A smartphone
  • GOV.UK One Login
  • A photo ID document
  • A selfie or facial scan

The process only takes a few minutes for most users.

Option 2 – Verify In Person at the Post Office

Some individuals may prefer to complete identity verification in person.

Companies House also allows verification through selected Post Office branches offering the GOV.UK identity checking service.

This option may be useful if:

  • You are unable to complete the online facial scan
  • You do not have a compatible smartphone
  • You prefer face-to-face verification
  • You experience technical issues with the online process

You will normally need:

  • A valid photo ID document
  • Access to your GOV.UK One Login
  • An appointment at a participating Post Office branch

After successful verification, Companies House will issue your personal verification code.

What Happens If You Do Not Verify?

Failure to complete identity verification could lead to:

  • Rejected confirmation statements
  • Delays with company filings
  • Directors being unable to act
  • PSC information becoming non-compliant
  • Financial penalties
  • Potential criminal offences for ongoing non-compliance

Companies House has confirmed that identity verification will become an essential part of maintaining company records moving forward.

Common Questions

Do I Need To Verify More Than Once?

No. Verification is generally a one-off process. Your personal code stays with you even if you are involved in multiple companies.

Does Every Director Need Their Own Code?

Yes. Each individual director and PSC must complete their own verification.

Will This Affect Confirmation Statements?

Yes. Companies House is linking identity verification to confirmation statements and PSC filings. Missing verification information may prevent successful submissions.

Our Recommendation

We strongly recommend that all directors and PSCs complete verification as soon as possible rather than waiting until filing deadlines approach.

Early completion helps avoid:

  • Filing delays
  • Last-minute technical problems
  • Rejected submissions
  • Compliance risks

The process is expected to become a standard part of running a UK company.
